Kankalu: Rules and Regulations

1. Definitions & Parties

In these Terms and Conditions (“Terms”), the following terms have the meanings set out below:

  • “KanKalu” or the “Event” refers to the open-air music concert organized and produced by Outright Play (Private) Limited, held in Colombo, Sri Lanka, under the theme “let there be song.”
  • “Organizer,” “we,” “our,” or “us” refers to Outright Play (Private) Limited, a company duly incorporated in Sri Lanka and having its registered office as specified in the Contact section of these Terms.
  • “Venue” refers to the physical location at which the KanKalu concert is held, including all surrounding facilities under event control (e.g., entrances, fences, VIP zones, food courts, backstage, parking areas, etc.).
  • “You,” “your,” or the “Attendee” means any person holding a valid ticket or wristband to attend KanKalu, including volunteers, students, and guests admitted by special pass, whether or not they purchased the ticket themselves.
  • “Ticket” means the revocable license issued to an Attendee granting them the right to access the Venue during the stated event hours, subject to compliance with all published terms, conditions, and venue rules.
  • “Wristband” refers to the physical credential or access device issued upon entry, which must be worn visibly at all times while inside the Venue. Different wristbands may indicate different access levels (e.g., general, VIP, student, staff).
  • “Student Volunteer” means a student from Royal College or another approved institution, authorized to assist in limited, supervised capacities during the Event under the direction of the Organizer and with the permission of the school and/or guardians.
  • “Minor” refers to any individual under the age of 18. Special provisions apply to minors attending the Event, including the requirement for parental or guardian consent where applicable.
  • “Media Representative” refers to any member of the press, broadcast, influencer, or production crew formally approved and accredited by the Organizer to capture, report, or publish material from the Event.
  • “Force Majeure” means any event beyond the reasonable control of the Organizer including but not limited to acts of God, severe weather, fire, flood, natural disaster, civil unrest, terrorism, pandemic, epidemic, governmental orders, failure of public utilities, or venue unavailability.

2. Acceptance of Terms; Updates & Amendments

By purchasing a ticket, receiving a wristband, entering the Venue, or participating in any part of the KanKalu event, you agree to be bound by these Terms and Conditions in full, without limitation or qualification. These Terms apply to all ticket holders, attendees, volunteers, staff, media personnel, vendors, and other participants, regardless of whether entry is paid or complimentary.

These Terms are a legally binding agreement between you and the Organizer. If you do not agree to comply with any part of these Terms, you must not attend the Event and may be denied entry or removed from the Venue.

The Organizer reserves the right to update, modify, or amend these Terms at any time to reflect changes in operational, legal, safety, or health requirements, or to address unforeseen circumstances. Any such changes will be effective immediately upon publication on the official KanKalu website or by public notice at the Venue. It is your responsibility to review the latest version of these Terms prior to the Event.

Continued attendance or use of a ticket or wristband after any amendment shall constitute your acceptance of the modified Terms.

3. Event Details, Permits & Compliance

The KanKalu concert (“the Event”) is a licensed public performance produced and operated by Outright Play (Private) Limited, taking place at an outdoor venue in Colombo, Sri Lanka. The Event is scheduled to occur on the published date, with official performance hours from 7:00 PM to 12:30 AM, after which all music and event-related activity will cease without exception, in accordance with applicable licensing and neighborhood regulations.

The Organizer has obtained and will maintain all permits, licenses, and authorizations required under the Public Performances Ordinance and any other applicable laws, including those issued by local municipal authorities, law enforcement, excise departments, and health and safety regulators.

All Event operations—including but not limited to sound levels, alcohol service, vendor activations, capacity limits, waste disposal, and entry management—will be conducted in accordance with Sri Lankan law, including but not limited to:

  • The Public Performances Ordinance
  • The Excise Ordinance
  • The National Authority on Tobacco and Alcohol Act No. 27 of 2006 (NATA Act)
  • Applicable municipal council regulations and police orders

By attending the Event, you agree to comply with all applicable laws, venue regulations, and instructions issued by the Organizer or law enforcement personnel. Failure to do so may result in removal from the Event without refund and may lead to further action as required by law.

The Organizer reserves the right to modify the location or operational elements of the Event in compliance with legal or public safety directives.

4. Official Ticket Outlets & Pricing

Tickets for KanKalu may only be purchased through the officially designated outlets as listed below:

  • The KanKalu Official Online Ticketing Platform (link published via official channels)
  • Royal College – at approved counters or through student representatives as announced
  • Race Course Colombo – designated on-site sales booth
  • The office of Outright Play (Private) Limited

Purchases made through any other channels are strictly unauthorized, and the Organizer accepts no responsibility for the validity, authenticity, or usability of such tickets. Tickets obtained through unofficial sellers, third-party platforms, or scalpers may be voided without notice or refund.

Ticket categories and pricing are as follows:

  • General Admission – Early Bird (Standing): LKR 2,000
  • General Admission (Standing): LKR 3,000
  • VIP Beer Bench: LKR 6,000 per seat (8 seats per bench)
  • Option to purchase the full bench (8 seats) at LKR 40,000

Ticket prices are inclusive of applicable taxes and service fees unless otherwise stated. Ticket availability is limited and subject to capacity restrictions at the Venue. Once sold out, the Organizer is not obligated to release additional tickets.

The Organizer reserves the right to change pricing tiers, add new ticket categories, or offer limited-time discounts or promotions at its discretion. Such changes do not entitle previous purchasers to any refund or price adjustment.

All ticket purchases are subject to the Refund Policy (see Section 7) and the Entry & Admission Conditions (see Sections 8 and 9).

5. Ticket Nature (Revocable License) & Wristbands

Each KanKalu ticket constitutes a revocable license granted by the Organizer to the holder, permitting entry to the Event at the Venue on the specified date and during the official hours. Entry is subject to compliance with all terms and conditions stated herein, as well as any Venue rules, applicable laws, and on-site staff instructions.

This license may be revoked at any time by the Organizer, with or without notice, for any reason deemed necessary to maintain safety, legal compliance, or the orderly operation of the Event. Grounds for revocation include, but are not limited to:

  • Possession of a forged, duplicated, or resold ticket
  • Breach of any event rule or venue policy
  • Disorderly, illegal, or unsafe behavior
  • Failure to comply with staff instructions or law enforcement
  • Entry via unauthorized means

Upon entry, all attendees will be issued a non-transferable wristband, which must be worn securely and visibly at all times while within the Venue. Wristbands may not be removed, altered, shared, sold, or tampered with once issued.

Lost or damaged wristbands will not be reissued. Attendees without an intact, valid wristband may be denied entry or removed from the Venue, even if they originally purchased a valid ticket.

Different categories of wristbands (e.g., General Admission, VIP Beer Bench, Student/Volunteer) will be used to designate access levels and permissions. Attempting to access unauthorized areas or use another person’s wristband is grounds for removal.

The Organizer retains full discretion over wristband distribution, color coding, access mapping, and enforcement, and may update these systems at any time in the interest of safety or crowd control.**

6. All-Sales-Final; Refund, Postponement & Cancellation Policy (Force Majeure)

All ticket sales for KanKalu are final. No exchanges, cancellations, or refunds will be provided for any reason, except in the event of a full cancellation of the show by the Organizer.

If the Event is canceled in its entirety prior to its scheduled start time, and not merely postponed or rescheduled, the Organizer may, at its sole discretion, issue refunds of the face value of the ticket. Refund procedures, if applicable, will be announced through official KanKalu channels only. Service fees, transaction charges, and incidental costs are non-refundable under any circumstances.

The Event is designed as a rain-or-shine experience. Weather-related interruptions—such as rain, wind, or heat—do not entitle ticket holders to a refund. In the event of temporary delays for safety reasons, the Organizer will make reasonable efforts to resume the program once conditions permit, subject to operational and legal constraints. However, all activity will cease at 12:30 AM sharp, as required by Event licenses and curfew regulations.

The Organizer shall not be held liable or deemed in default for any postponement, alteration, or cancellation of the Event due to circumstances beyond its reasonable control, including but not limited to:

  • Acts of God or nature (e.g. extreme weather, floods, earthquakes)
  • Governmental or regulatory orders or restrictions
  • National mourning, political unrest, strikes, or civil disturbances
  • Terrorism or credible security threats
  • Public health emergencies (e.g. epidemic, pandemic, quarantine measures)
  • Power outages, infrastructure failure, or Venue inaccessibility

Such events shall be considered force majeure, and no compensation, reimbursement, or liability shall arise from any delay, curtailment, or cancellation resulting from them.

By purchasing a ticket, you acknowledge and accept this force majeure clause and agree that your sole remedy in the event of full cancellation will be as expressly provided above.

7. Transfers, Resale & Anti-Fraud Policy

Tickets purchased for KanKalu are intended for personal use only and may not be resold, transferred, or offered for resale except through resale channels expressly authorized by the Organizer. Any ticket or wristband obtained in breach of this policy is considered invalid and may be canceled without notice or refund

The Organizer reserves the right to:

  • Limit the number of tickets that may be purchased per individual or per transaction
  • Cancel any ticket orders that appear to be part of unauthorized bulk purchasing, scalping, bot usage, or automated ticket farming
  • Refuse entry to any person in possession of a ticket or wristband obtained through unauthorized resale platforms, private sellers, or secondary markets

Any attempt to sell, trade, auction, or advertise tickets or wristbands at inflated prices or through unofficial channels—including but not limited to social media pages, classified ads, or reseller websites—may result in ticket cancellation and permanent blacklisting from future events produced by the Organizer.

Wristbands issued at the gate are strictly non-transferable. Any person found attempting to share, swap, or sell their wristband, or use a wristband not assigned to them, will be denied entry or ejected from the Event.

If you have purchased a ticket and can no longer attend, please contact the Organizer directly through official support channels to inquire whether transfer options are available. Approval is at the Organizer’s discretion and is not guaranteed.

The Organizer is not responsible for any losses incurred due to tickets purchased from third parties, including invalidation, non-delivery, duplicate scanning, or counterfeit tickets.

8. Entry, Re‑Entry & Security / Screening

Entry to KanKalu is subject to presentation of a valid ticket and successful completion of security screening. All attendees must pass through designated entry points and comply with instructions from security personnel, event staff, and law enforcement officers.

Entry Requirements

  • Only individuals with valid tickets and matching wristbands will be permitted to enter.
  • All attendees may be required to present a government-issued photo ID upon request, particularly in age-restricted areas such as alcohol zones.
  • Tickets will be scanned and validated electronically; duplicate or previously scanned tickets will not be accepted.

Re‑Entry Policy

No re-entry is allowed once a ticket has been scanned and the attendee has entered the Venue. Exceptions may be made only at the sole discretion of the Organizer in cases of medical or personal emergencies, and must be coordinated at the gate with authorized staff. Exit without proper clearance may result in forfeiture of entry rights.

Bag & Security Checks

To ensure the safety of all attendees and staff, all persons entering the Event are subject to:

  • Bag searches and visual inspections
  • Walk-through metal detectors or handheld scans
  • Pat-downs, where deemed necessary by security

The Organizer reserves the right to deny entry or remove any person who refuses to comply with these security procedures or is found to be carrying prohibited items (as defined in Section 10). Any such removal will be without refund.

Safety & Law Enforcement Cooperation

The Event operates in cooperation with local police and emergency services. Any attempt to gain unauthorized access, bypass security, or disrupt the peace may result in immediate ejection and referral to the Sri Lanka Police under the Police Ordinance or other applicable laws.

The Organizer reserves the right to revise gate protocols at any time based on weather, crowd levels, or law enforcement directives.

9. Permitted / Prohibited Items & Bag Policy

To ensure a safe and enjoyable environment for all attendees, KanKalu enforces a strict bag and items policy. All guests are subject to security checks at the entrance and must comply with the following guidelines:

Permitted Items

The following items are allowed, subject to inspection:

  • Small bags, purses, and backpacks within reasonable size limits (no larger than 12" x 12" x 6")
  • Empty reusable water bottles (plastic or metal, no glass)
  • Mobile phones, compact digital cameras (non-professional)
  • Hats, sunscreen, and sunglasses
  • Personal blankets or light mats for sitting
  • Earplugs, basic personal medication (must be in original packaging, with ID if prescription-based)
  • Foldable umbrellas (non-pointed, less than 24 inches when closed)

Prohibited Items

The following are strictly prohibited at the Venue:

  • Illegal substances or narcotics (subject to immediate removal and law enforcement action)
  • Outside alcohol or beverages of any kind
  • Weapons of any kind, including knives, firearms, sharp tools, or blunt instruments
  • Fireworks, explosives, flammable liquids, or aerosol cans (excluding personal-sized deodorant)
  • Glass containers or bottles
  • Professional camera equipment, tripods, monopods, detachable lenses
  • Recording equipment (audio or video), drones, walkie-talkies, or radio jammers
  • Large umbrellas, tents, gazebos, or shade structures
  • Laser pointers, air horns, megaphones, or noisemakers
  • Bicycles, scooters, skateboards, or similar wheeled devices (except for accessibility)
  • Flyers, banners, political signs, or commercial advertising materials
  • Any item deemed unsafe or disruptive by event security or staff

All prohibited items will be confiscated and not returned, or may lead to denied entry or immediate removal from the Event without refund. The Organizer and its security personnel reserve the final right of decision on any item not specifically listed above.

Note: There is no facility to check in or store prohibited items at the gate.

10. Age Restrictions; Alcohol & Tobacco Sales

KanKalu is an all-ages event, but certain areas and activities are restricted to attendees aged 21 and above in accordance with Sri Lankan law.

Alcohol Sales

Beer and hard liquor will be available for purchase only in designated bar areas. To comply with the National Authority on Tobacco and Alcohol Act No. 27 of 2006 (NATA), the following rules apply:

  • Alcohol will be served only to individuals aged 21 years or older, based on presentation of valid government-issued photo identification.
  • All guests may be ID-checked at the time of purchase or upon entering a bar zone, regardless of appearance or ticket type.
  • No alcohol may be brought into the Venue from outside.
  • The Organizer and bar vendors reserve the right to refuse service to anyone at their discretion, especially in cases of suspected underage status, intoxication, or disorderly conduct.

Under no circumstances may any attendee provide or purchase alcohol for a minor. Violators will be removed from the Venue and referred to law enforcement where appropriate.

Tobacco Sales & Smoking

Tobacco products, including cigarettes and vaping devices, may only be sold or consumed by persons aged 21 or older. Smoking and vaping are permitted only in designated outdoor smoking areas.

In compliance with the NATA Act, smoking is strictly prohibited in enclosed or semi-enclosed spaces such as tents, covered lounges, or restrooms. Violators may be removed from the Event and are subject to applicable penalties under Sri Lankan law.

Attendees are expected to dispose of cigarette waste responsibly using the bins provided. Failure to comply may result in ejection from the Venue.

11. Smoking Policy & Designated Areas

KanKalu enforces a clear and lawful smoking policy in accordance with the National Authority on Tobacco and Alcohol Act No. 27 of 2006 (NATA) and relevant health and safety regulations.

Smoking Zones

Smoking (including traditional cigarettes, cigars, and e-cigarettes or vaping devices) is only permitted in designated outdoor smoking areas clearly marked within the Venue. These areas are selected and approved based on crowd flow, ventilation, and fire safety considerations.

You must only smoke within these signed areas. Anyone found smoking in non-smoking zones, including general audience areas, restrooms, queues, or near flammable materials, may be removed from the Event without refund.

Enclosed Area Restrictions

In compliance with Sri Lankan law, smoking is strictly prohibited in enclosed or semi-enclosed public spaces, including but not limited to:

  • Tents or marquees with side walls
  • Covered VIP lounges or indoor service counters
  • Restroom facilities
  • Food service areas under canopies

Violators may face removal from the Venue, confiscation of tobacco products, or penalties issued by law enforcement under the NATA Act.

Responsible Disposal

All smokers are required to extinguish and dispose of cigarette butts or vaping waste in the receptacles provided. Littering or careless disposal may be considered a safety risk and grounds for ejection.

The Organizer reserves the right to revise or restrict smoking zones at any time based on updated public health guidelines, weather conditions, or crowd management needs.

12. Zero-Drug Policy & Law Enforcement Cooperation

KanKalu enforces a strict zero-tolerance policy on the possession, use, or distribution of illegal drugs and controlled substances.

Prohibited Substances

The possession, sale, use, or attempted distribution of illegal narcotics, psychoactive substances, or controlled medications without a valid prescription is strictly prohibited under Sri Lankan law, including the Poisons, Opium and Dangerous Drugs Ordinance and related amendments.

This includes (but is not limited to):

  • Cannabis (ganja/marijuana)
  • Heroin, cocaine, MDMA, LSD, ketamine, and other synthetic drugs
  • Unidentified pills, powders, or edibles suspected to contain controlled substances
  • Misuse of prescription drugs not belonging to the attendee

No tolerance will be shown regardless of the quantity or context.

Immediate Action

Any attendee found in violation of this policy will face immediate removal from the Venue without refund and will be handed over to law enforcement authorities present at the Event for further investigation and legal action.

Security staff are authorized to conduct reasonable searches and to detain individuals until police arrive if drug-related activity is suspected.

Law Enforcement Cooperation

The Event operates in direct cooperation with the Sri Lanka Police and other relevant enforcement agencies. Drug detection units, including plainclothes officers and K9 patrols, may be present throughout the Venue and surrounding areas.

Attendees are advised that all security checks, surveillance footage, and confiscated substances may be used as evidence in any investigation or prosecution.

No Exceptions

There will be no exceptions, regardless of age, intent, or quantity. This applies equally to attendees, staff, volunteers, media, and guests of performers.

By attending KanKalu, you acknowledge and accept that any involvement in illegal drug activity—possession, use, or sharing—may result in criminal prosecution under Sri Lankan law.

13. Student & Minor Protection

KanKalu welcomes attendees of all ages but takes extra measures to ensure the safety, supervision, and well-being of students and minors present at the Event.

Student Identification & Access Control

All student attendees and volunteers will be issued distinctive, color-coded wristbands that clearly identify their role and access level. These wristbands will be strictly enforced throughout the Venue and monitored by:

  • School prefects
  • Event security personnel
  • Authorized event staff and chaperones

Students will be restricted from accessing alcohol-serving areas, VIP lounges, backstage zones, and any other adult-only spaces. Bar staff are under strict instructions to deny service to anyone wearing a student wristband, regardless of age.

Supervised Student Participation

Select students from Royal College or other approved institutions may be involved in the Event through pre-approved, supervised volunteer roles. These roles are:

  • Strictly non-employment, educational in nature
  • Limited in duration and clearly assigned
  • Overseen by event coordinators in cooperation with the school

Volunteers will not be involved in age-restricted activities such as alcohol service, late-night shifts, or unsupervised guest interaction.

Attendance by Minors

Minors (under the age of 18) attending the Event must be accompanied by a parent, guardian, or responsible adult unless they are participating under a school-approved group or volunteer program.

By allowing a student or minor to attend, parents and guardians acknowledge and accept:

  • The public nature of the Event
  • The possibility of exposure to adult content (music, language, crowd behavior)
  • That the Organizer will take reasonable steps to protect minors, but cannot be held liable for behavior or decisions made by students who violate the event rules or wander outside designated areas

Code of Conduct

All students and minors are expected to adhere to the KanKalu Code of Conduct, school-imposed guidelines (where applicable), and any directives from security or supervising adults. Failure to do so may result in removal from the Venue and notification to parents or guardians.

14. Accessibility & Assistance

KanKalu is committed to providing an inclusive and welcoming experience for all attendees, including guests with disabilities or special access needs.

Accessible Entry & Viewing Areas

The Venue will provide:

  • Designated accessible entrances with priority access
  • Reserved viewing areas for guests with mobility devices or special needs, located to ensure comfort and safety
  • Wheelchair-friendly pathways and ramps, where applicable, based on the venue layout

If you require accessible seating or any specific accommodation, we strongly recommend contacting the Organizer at least 5 days before the event to allow for arrangements.

Restrooms & Facilities

Accessible restroom facilities will be available near the main event zones and designated accessible areas. Staff will be stationed nearby to provide directions or assistance as needed.

Service Animals

Only certified service animals are permitted within the Venue. Emotional support animals, pets, or unlicensed animals are not allowed, in compliance with local health regulations.

Owners of service animals are responsible for their behavior and waste disposal. The Organizer reserves the right to remove any animal that poses a health or safety risk.

Assistance Staff & Support

Event staff and volunteers will be trained to provide respectful assistance to attendees with disabilities. Please visit the Information or Help Desk upon arrival for wristbands, maps, or support services.

For any emergency or urgent accessibility need during the Event, attendees can alert a nearby staff member or use the hotline provided on-site.

Requesting Assistance in Advance

To ensure a smooth experience, guests with disabilities or special health concerns are encouraged to notify the Organizer in advance via the contact details provided on the official website. While walk-up support will be available, advance notice ensures the best possible accommodation.

15. Event Photography, Videography & Publicity Consent

By entering the KanKalu event premises, attendees acknowledge and agree that they may be photographed, filmed, or otherwise recorded as part of the Event’s media coverage, documentation, and promotional activities.

Consent to Be Recorded

All attendees grant the Organizer and its authorized partners the irrevocable, worldwide, royalty-free right to use, reproduce, publish, edit, and distribute any photographs, audio recordings, or video footage taken at the Event that may include their image, likeness, voice, or performance, for purposes including but not limited to:

  • Event promotions, advertising, and recaps
  • Broadcast and streaming (live or recorded)
  • Social media, website, press, and PR usage
  • Sponsorship reports and future event campaigns

This consent extends in perpetuity and applies to all known and future media formats.

No Compensation or Credit

Attendees will not be entitled to any compensation, royalty, or credit for the use of their image or likeness in any Event-related media. This includes group crowd shots, background appearances, or interviews conducted with permission.

Professional Media & Press Access

Only approved press and media outlets with registered credentials may bring professional equipment or conduct interviews on-site. Unauthorized photography, filming, or live streaming by individuals or third parties for commercial purposes is prohibited and may result in removal or equipment confiscation.

Opting Out

While the Organizer will make reasonable efforts to honor requests from individuals who do not wish to appear prominently, it may not be possible to exclude individuals from wide crowd shots or incidental captures. By attending, all guests accept this as a condition of entry.

16. Risk, Waiver of Liability & Indemnity

By attending the KanKalu music event, each ticket holder, participant, volunteer, vendor, or other attendee (collectively, “Attendee”) expressly agrees to the following legal terms regarding personal risk, liability, and indemnification:

Assumption of Risk

Attendees voluntarily assume all risks associated with attending a large-scale outdoor music event, including but not limited to:

  • Crowds, noise, lighting effects (e.g. strobe), weather conditions, and temporary structures
  • Physical exertion, loud sound levels, and close proximity to others
  • Exposure to unforeseen incidents, whether caused by environmental factors, other attendees, or third-party actions

The Organizer, its staff, affiliates, school partners, and vendors shall not be liable for any injury, illness, loss, or damage arising from such risks, whether direct or incidental.

Release of Liability

To the fullest extent permitted by law, Attendees hereby release and discharge Outright Play (Pvt) Ltd, Royal College, Mother Sri Lanka Society, venue partners, sponsors, employees, volunteers, and contractors from any and all claims, demands, or causes of action arising from:

  • Personal injury, disability, property damage, theft, or loss
  • Delays, event interruption, or adverse weather
  • Activities conducted during the Event, whether by performers, guests, staff, or third parties

This waiver applies even if such harm is alleged to have resulted from negligence, except in cases of gross negligence or willful misconduct.

Indemnification

Attendees agree to indemnify and hold harmless the above-listed parties from and against all claims, liabilities, damages, costs, and expenses (including legal fees) arising from:

  • Violation of these Terms or Venue Rules
  • Unauthorized or unlawful conduct at the Event
  • Harm caused to other attendees or property
  • Breach of ticket terms, including resale, fraud, or misrepresentation

This indemnification obligation is binding upon the Attendee, their heirs, successors, and legal representatives.

Medical Treatment

By entering the Event, attendees consent to receive basic first aid or emergency medical treatment if needed and understand that such care is provided at their own risk. The Organizer assumes no responsibility for the outcomes of any medical treatment or lack thereof, including delayed emergency response.

Force Majeure Extension

The above waivers remain valid even in cases of Event disruption due to force majeure events (natural disasters, governmental orders, pandemics, civil unrest, or other uncontrollable incidents).

18. Volunteer Participation & Student Engagement

KanKalu is committed to fostering community involvement and providing meaningful opportunities for student and volunteer engagement in a manner that is educational, safe, and legally compliant.

Nature of Participation

Students and community volunteers may assist in limited and non-remunerated roles that are:

  • Supervised at all times by approved event coordinators
  • Pre-approved by Royal College and/or other participating institutions

Participation is structured as a voluntary contribution or student leadership initiative, not formal employment, and does not imply any legal employment status or ongoing relationship with the Organizer.

Consent & Permissions

All student participants must have:

  • Prior written consent from a parent or guardian (if under 18)
  • Approval from their respective school’s designated authority
  • Signed acknowledgment of the Code of Conduct, confidentiality, and safety policies

Without these documents, students will not be allowed to participate.

Roles & Boundaries

Student and volunteer roles do not include tasks such as:

  • Serving alcohol or working near licensed bar zones
  • Handling cash or sensitive equipment
  • Working in unsupervised backstage or VIP areas
  • Security enforcement or crowd control

All volunteers will be clearly identified by wristbands and credentials, and will be regularly checked in by coordinators throughout the Event.

Health & Safety

Volunteers will be briefed on:

  • Emergency procedures
  • Reporting channels for incidents or unsafe behavior
  • Hydration and break schedules, especially for minors

The Organizer reserves the right to reassign or remove any student or volunteer from duty at any time, particularly in the case of fatigue, misconduct, or non-compliance.

No Compensation or Employment Claim

Participation in the Event as a volunteer or student helper does not entitle any individual to payment, benefits, or future opportunities. All contributions are recognized with official certificates of participation or letters of appreciation, as applicable.

By signing up, volunteers waive any claims for compensation and acknowledge that participation is at their own risk and subject to all general Event Terms and Conditions.

19. Code of Conduct & Right to Refuse Entry

KanKalu is committed to creating a safe, inclusive, and respectful environment for all attendees, performers, staff, and partners. All participants are required to adhere to the following Code of Conduct, and violation of these rules may result in denied entry, immediate removal, and/or legal action.

Expected Behavior

All attendees must:

  • Treat others with respect, regardless of age, gender, ethnicity, orientation, religion, or ability.
  • Follow instructions from event staff, security, volunteers, and authorized personnel at all times.
  • Respect the venue, facilities, and other guests
  • Wear the provided wristband visibly at all times.
  • Refrain from disruptive, threatening, or offensive behavior, including harassment or intoxication.

Prohibited Behavior

The following actions will not be tolerated:

  • Physical or verbal harassment
  • Vandalism or property damage
  • Unauthorized access to restricted areas
  • Possession or use of illegal substances
  • Aggressive or intoxicated conduct
  • Throwing objects, pushing, or unsafe dancing
  • Breach of Sri Lankan law, including those related to drugs, assault, or underage drinking

Right to Refuse Entry or Remove

The Organizer reserves the absolute right to refuse admission or remove any individual from the venue if, in its sole judgment:

  • The individual poses a risk to public safety, order, or the integrity of the event.
  • The individual is under the influence of drugs or alcohol to the extent of being disruptive.
  • The wristband or ticket appears tampered with, transferred unlawfully, or counterfeited.
  • The individual fails to comply with the Code of Conduct or any of the Event’s rules.

No refunds will be issued in such cases, and the individual may be referred to law enforcement authorities if necessary.

Reporting Misconduct

If you witness or experience misconduct, please report it immediately to event staff, security, or at the Information & Safety Desk. All reports will be handled discreetly and seriously.

Cooperation with Security

Attendees are expected to cooperate fully during any bag checks, screenings, or incident investigations. Non-compliance may result in denied access or ejection from the event grounds.

20. Vendor Terms, Sponsorships & Promotions

KanKalu engages with a range of vendors, sponsors, and promotional partners to elevate the event experience. All such relationships are subject to strict terms designed to ensure safety, transparency, and alignment with the event’s values and standards.

Vendor Participation & Requirements

Vendors operating at KanKalu must:

  • Adhere to assigned locations and operational times.
  • Ensure that all food, beverages, and goods meet hygiene standards.
  • Employ courteous, identifiable staff and maintain a clean, hazard-free setup.
  • Accept both cash and card/mobile payments (unless otherwise agreed upon).

Unlicensed or unauthorized vendors are strictly prohibited and may be removed without notice.

Sponsorship Agreements

Sponsors may receive branding, presence, and activation rights at the Event as per mutually signed agreements. All sponsorship activity must be:

  • Pre-approved by the Organizer.
  • Non-disruptive to the audience experience.
  • In alignment with the event’s ethical and cultural standards.

Sponsors are not permitted to engage in direct sales or political activity, and may not distribute materials deemed inappropriate, misleading, or offensive.

Sampling & Promotional Activities

Any brand or business conducting giveaways, surveys, product sampling, or promotional activities must:

  • Be pre-authorized in writing.
  • Operate only within designated areas and times.
  • Avoid obstruction, excessive noise, or interference with performances.

Unauthorized promotional activity—including flyer distribution, unapproved signage, and guerrilla marketing—is prohibited and may result in confiscation or removal.

Exclusivity & Conflicts

The Organizer reserves the right to:

  • Limit or prohibit vendor or sponsor categories to avoid conflict of interest.
  • Enforce category exclusivity clauses where negotiated.
  • Deny partnership to entities whose values or past conduct are inconsistent with the Event's public image or safety obligations.

Liability & Indemnity

Vendors and sponsors agree to indemnify and hold harmless the Organizer, venue partners, and all affiliated parties from any claims arising from their operations, goods, staff actions, or attendee interactions.

21. Privacy Policy & Data Use

KanKalu respects your privacy and is committed to protecting your personal data in compliance with applicable data protection laws of Sri Lanka, including the Personal Data Protection Act, No. 9 of 2022, and relevant international standards.

Information Collection

We may collect personal information from you when you:

  • Purchase tickets through our official channels
  • Sign up as a volunteer or vendor
  • Apply for media accreditation or press access
  • Interact with us via social media, our website, or marketing platforms
  • Attend the Event and appear in photos or footage

Information may include your name, contact details, date of birth, payment method, and preferences.

Use of Personal Data

22. Disputes, Governing Law & Jurisdiction

These Terms & Conditions—and any dispute, claim, or controversy arising out of or relating to your participation in the KanKalu event—shall be governed by and construed in accordance with the laws of the Democratic Socialist Republic of Sri Lanka, without regard to any conflict of law principles.

Resolution of Disputes

In the event of a disagreement or dispute between an attendee and the Organizer, the parties agree to:

Jurisdiction

All legal proceedings related to KanKalu or these Terms shall be subject to the exclusive jurisdiction of the courts of Colombo, and attendees irrevocably consent to submit to the authority of those courts.

Severability

If any provision of these Terms is found to be invalid or unenforceable under Sri Lankan law, that provision shall be severed or interpreted to best reflect the original intent, while the remainder of the Terms will continue to be valid and enforceable.

No Waiver

Failure by the Organizer to enforce any part of these Terms does not constitute a waiver of its right to enforce that or any other part at any time.

23. Entire Agreement & Contact Information

Entire Agreement

These Terms & Conditions, together with:

  • The FAQs published on the official KanKalu website,
  • The Ticket Terms & Conditions,
  • Any notices provided at the time of ticket purchase or event entry,
  • And any signed waivers or consent forms (e.g., for students, volunteers, or vendors)

Any changes or exceptions to these terms must be made in writing by the Organizer and publicly posted or individually communicated via official channels.

No Partnership or Agency

Nothing in these Terms shall be construed to create a joint venture, agency, employment, or partnership relationship between any attendee, vendor, volunteer, school, or third party and the Organizer.
